Karbon AI is the AI layer inside Karbon, a practice management platform for accounting firms, led by Kai, an AI coworker unveiled in June 2026. It suits firms that already run client email, work and billing through Karbon and want AI to triage the inbox, summarize clients, plan the week and flag close issues. One thing to know: Kai and Karbon’s agentic workflows are still in early access.
Pricing starts at $59 per user a month on the annual Team plan, and Karbon says its AI is currently included at no extra cost. This review is based on Karbon’s published pricing, product pages and announcements as of October 2026; we have not tested it hands-on.
Per-User Plans From $59 With AI Included for Now
- Starting price: $59 per user a month on Team billed annually ($79 monthly); Business is $89 annually or $99 monthly; Enterprise is quoted.
- AI cost: Karbon says its AI, including Kai, is currently included for paid customers at no additional cost, with notice promised before any change.
- What the agents do: Kai answers questions and takes on tasks using the firm’s own client, work and team data; separate features triage email and flag close issues.
- Reach: customers in more than 40 countries and more than 80 native integrations, by Karbon’s count; the platform rates 4.7 from 208 Capterra reviews.
- Our score: 8.4/10; general availability of Kai and the agentic workflows would lift it further, since price and sentiment are already strong.
Platform and Pricing Figures From an Established Vendor
Karbon is an established practice management vendor adding agents on top of an existing product, so most of the hard numbers describe the platform and its pricing. Each figure below was checked on the source page.
| Fact | Detail | Source and date |
|---|---|---|
| Team plan | $59 per user a month billed annually, $79 billed monthly; monthly billing only for teams of 4 or more | Karbon pricing page, October 2026 |
| Business plan | $89 per user a month billed annually, $99 monthly; adds Karbon API, client reminders and task automation | Karbon pricing page, October 2026 |
| AI pricing | Karbon AI currently available to all customers at no additional cost, with advance notice of any change | Karbon AI page, October 2026 |
| Kai launch | Unveiled at Karbon Next in San Diego as an AI coworker, in early access | CPA Practice Advisor, June 3, 2026 |
| Integrations | More than 80 native integrations, per CEO Mary Delaney; new links to Gusto, Wagepoint, Microsoft Teams and Microsoft Dynamics | CPA Practice Advisor, June 3, 2026 |
| Model and data | Built on Azure OpenAI Service; firm data not used to train models; data kept in region | Karbon AI page, October 2026 |
| Global footprint | Customers in more than 40 countries; Karbon says it has ranked first on G2 for five years | What Is Karbon, October 2026 |
| Customer growth claim | System Six says Karbon helps it grow 40% to 50% year over year | What Is Karbon, October 2026 |
| User rating | 4.7 out of 5 from 208 verified reviews for the Karbon platform | Capterra, October 2026 |
| Payment fees | Standard cards 2.6% + $0.30; ACH direct debit 1% + $0.30, capped at $5.00 | Karbon pricing page, October 2026 |
For a buyer, the most useful number is the zero: Karbon’s AI carries no extra charge today, so a firm already paying for Karbon can try Kai without a new budget line. Karbon also reserves the right to price it later with notice.
The 80-plus integrations and the 40-country footprint matter because an AI coworker is only as good as the data it can see. Karbon already holds a firm’s email, work and billing, which gives Kai more context than a standalone chatbot. The growth and ranking claims come from Karbon and its customers, so confirm them in your own pilot.
An AI Layer Reading Inboxes, Work Items and Client Records
Karbon AI is a layer inside Karbon, not a separate app. It reads what the firm already stores there: client records, shared email inboxes, work items and task lists, notes, time entries and billing. That shared context is the reason Karbon positions Kai as a coworker that knows the firm.
Kai, the AI Coworker
- Ask or assign. Staff open Kai’s chat interface and either ask a question about a client, a job or the team, or assign a task.
- Kai gathers context. It pulls from client history, email, work status and billing data that the user has permission to see.
- It returns work. Karbon’s examples include a summary of a client engagement before a meeting, a prioritized plan for the week, flags for scope creep and suggested renewal pricing.
- Staff act on it. Assigned tasks are handled without further input, according to Karbon, and staff decide what goes to clients.
Kai is in early access. At its June 2026 launch Karbon said many announced features were available and others would roll out over the following months.
Agentic Close Checks and Email Triage
Two features act more like classic agents. Agentic period close checks review transactions during close and flag the ones that need action. AI email triage categorizes incoming messages, routes them to the right person and surfaces the critical ones, which matters in firms where a shared inbox is the main client channel.
Everyday AI Features
- Email help: drafts and refines emails with tone, length and language options, offers quick replies and writes emails from task progress.
- Summaries: condenses long threads, summarizes work conversations and builds a one-page client brief from email, notes, work and billing.
- Assignments and time: suggests colleagues and contacts to assign based on past work and corrects missed time entries flagged from completed tasks.
- Meetings: an AI notetaker companion app joins client meetings and brings transcripts into Karbon for analysis.
- Analytics and connections: AI Analytics answers questions about firm performance, and a public MCP server lets other AI tools work with Karbon data.
Tax Prep, Ledger Entries and Sign-Off Stay With Staff
Karbon AI does not prepare tax returns, post journal entries in a client’s ledger or sign off work. Staff still own client advice, review and delivery. AI is on by default for all users, and admins can turn it off for the whole firm. Karbon says agent capabilities will become individually configurable. Setup is mostly the work of setting up Karbon itself: work templates, workflow statuses and client records, which Capterra reviewers say takes time and leadership follow-through.
Published Per-User Tiers With AI Bundled In
Karbon publishes per-user prices. The AI features come with paid plans rather than as a separate line item, based on Karbon’s published AI page.
| Plan | Price | Billing | What’s Included | Limits |
|---|---|---|---|---|
| Team | $59 per user a month annually; $79 monthly | Annual or monthly (monthly for 4+ users) | Integrated email, collaboration, workflows and to-dos, time tracking, billing, payments and engagements | 1,000 contacts, 40 work templates, 3 teams; no client reminders, task automators, user permissions or API |
| Business | $89 per user a month annually; $99 monthly | Annual or monthly (monthly for 4+ users) | Everything in Team plus automatic client reminders, task automation, client groups, user permissions, Karbon API and industry integrations | 75 work templates, 10 teams, unlimited contacts |
| Enterprise | Custom quote | Contract | Everything in Business plus customization, unlimited usage limits, dedicated contact, training and a customer success manager | Sales-led |
All plans carry payment processing fees on client payments (standard cards 2.6% + $0.30, ACH 1% + $0.30 capped at $5.00), and eSignature credits are sold separately, from $100 for 100 credits.
A Five-Person Bookkeeping Firm’s $3,540 Year
Five-person bookkeeping firm. Team on annual billing costs 5 x $59 = $295 a month, or $3,540 a year. Paying monthly raises that to $395 a month. Kai and the other AI features are included at today’s terms.
Fifteen-person accounting firm. Business on annual billing costs 15 x $89 = $1,335 a month, or $16,020 a year; monthly billing is $1,485 a month. Business is the plan to choose if you want the API or task automation alongside the AI.
Collecting client payments. A $10,000 invoice paid by standard card costs $260.30 in processing; the same invoice by ACH costs $5.00 because of the cap. Steering clients to ACH matters more than the AI does for this line.
Other costs to plan for. Team training, custom reporting and a dedicated customer success manager are paid add-ons on the lower plans. Implementation packages range from group onboarding to guided implementation. And because AI is free today, budget for the possibility of a future AI charge.
Karbon AI Compared With Basis, Black Ore and Truewind
These rivals also sell AI to accounting firms, but they attack different work. Karbon organizes the firm; Basis, Black Ore and Truewind produce accounting and tax deliverables.
| Tool | Starting Price | Free Plan | Main Strength | Main Trade-Off | Best For |
|---|---|---|---|---|---|
| Karbon AI | $59 per user a month (Team, annual) | No | AI inside the system holding a firm’s email, work and billing, at no extra AI cost for now | Kai and agentic workflows in early access; does not prepare deliverables | Firms that want practice management with AI built in |
| Basis | Custom quote | No | Runs long accounting, tax and audit workflows in the background | No public pricing; aimed at larger firms | Larger CPA firms automating whole practice areas |
| Black Ore | From $60 per return (small firms) | No | Prepares review-ready tax returns with workpapers | Tax preparation only | Firms with a heavy individual tax workload |
| Truewind | Custom quote | No | Workpaper agents and close workflows for QuickBooks Online and Sage Intacct | No public pricing | Client accounting services and close teams |
Karbon is often a complement rather than a substitute: a firm can run work in Karbon and use Black Ore for returns or Truewind for workpapers. Choose Karbon AI when the bottleneck is coordination, email and planning. Choose the others when the bottleneck is producing the work itself. More options are on our accounting firm agents page.
Karbon Firms and Practices Buried in Client Email
- Firms already on Karbon: the AI is included at no extra cost today, so the only investment is time to try it.
- Firms drowning in client email: email triage, thread summaries and drafted replies target the inbox load that Karbon was built around.
- Partners who need a fast client picture: client summaries and Kai’s meeting prep pull email, work and billing into one brief.
- Firms reviewing pricing and scope: Kai can flag scope creep and suggest renewal pricing using real work history.
- Teams with multiple offices: Karbon serves customers in more than 40 countries and keeps data in region. See also our project management agents.
Firms Wanting Returns Prepared or Books Reconciled
- Firms that want returns prepared: Karbon AI does not prepare tax returns; look at Black Ore.
- Teams wanting autonomous bookkeeping: it does not categorize and reconcile client ledgers end to end; Booke AI or Digits are closer fits.
- Solo practitioners on a tight budget: there is no free plan, and monthly billing needs four or more users.
- Buyers who need a finished agent today: Kai is in early access and Karbon’s autonomous workflows have no firm timeline.
Early Access Features and AI Fees That May Come Later
- Early access: Kai and agentic workflows are early access, so features and behavior may change during your rollout.
- Future pricing: AI is free for now, and Karbon says it will give advance notice before charging.
- Setup effort: Capterra reviewers mention a learning curve and the leadership time needed to build templates and workflows.
- Plan gating: the Karbon API, user permissions and task automation require Business or higher.
- Scope of the AI: it summarizes, drafts, plans and flags. Client deliverables still need staff or separate tools.
- Default on: AI is enabled for all users by default, so set firm policy and decide whether to switch it off before rollout.
Kai Unveiled at Karbon Next in San Diego
On June 3, 2026, Karbon announced Kai at its Karbon Next conference in San Diego. Chief product officer Sara Goepel unveiled it in her keynote, and the company also announced an AI notetaker, a public MCP server, AI Analytics, agentic period close checks, AI email triage, client lifecycle tools, enterprise billing and new integrations with Gusto, Wagepoint, Microsoft Teams and Microsoft Dynamics. Karbon said agentic workflows that act autonomously inside service delivery would follow, without giving a timeline.
No Extra Cost Makes It a Yes for Current Karbon Firms
For firms already paying for Karbon, yes: the AI costs nothing extra today and works on data the firm already keeps there. Karbon AI scores 8.4/10 on our scale. Its strengths are published pricing, more than 80 integrations, clear data commitments and strong reviews for the platform, which holds 4.7 from 208 Capterra reviews.
Autonomy is where it has the most room to grow. Kai is an early-access coworker that summarizes, plans and handles assigned tasks rather than an agent that closes books or prepares returns. If you are choosing Karbon mainly for its AI, wait for the agentic workflows to reach general availability or pair it with a production tool such as Black Ore or Truewind. Start with email triage and client summaries, which give the fastest return, then test Kai on meeting prep and weekly planning.
Kai Fees, Availability and Training on Firm Data
Does Karbon Charge Extra for Kai?
Not at present. Karbon says its AI is available to all paid customers at no additional cost and that it will give advance notice if pricing changes. You still pay the Karbon plan, from $59 per user a month on Team billed annually.
Is Kai Generally Available?
Kai was in early access at its June 2026 launch, with some features available and others rolling out over the following months. Agentic workflows inside service delivery were announced without a timeline.
Does Karbon Use Firm Data to Train AI Models?
Karbon says it does not use firm data to train AI models, does not share it with third parties and does not use it to shape other customers’ experiences. The AI runs on Azure OpenAI Service and data stays in region, so UK data remains in the UK.
Can Karbon AI Replace a Bookkeeper or Tax Preparer?
No. It drafts emails, summarizes clients, flags close issues and plans work, but it does not categorize and reconcile client ledgers end to end or prepare returns. Firms pair Karbon with tools such as Black Ore, Truewind or Booke AI for that.
Which Karbon Plan Do I Need for the API and Automation?
Business, at $89 per user a month billed annually. Team excludes the Karbon API, user permissions, client groups, automatic client reminders and task automators.
