Dext AI Assist Turns Firm Habits Into Bookkeeping Rules

Dext processed 31.4 million receipts and invoices in January 2026, and on March 23 it added AI Assist, an agent that learns what accountants do with those documents next. It watches how a firm categorizes items, applies tax treatments and corrects supplier data, then proposes rules and applies them across clients. Each suggestion shows its reasoning, and staff decide whether it runs automatically.

Core guidance is free for every Dext user. Custom guidance built from your own decisions costs $7 per client per month after a 14-day trial, under a launch offer. Dext AI Assist scores 8.6/10 on our scale and suits firms already capturing client documents in Dext.

Dext AI Assist for Busy Practices

  • Launched March 23, 2026, inside Dext, which more than 12,000 accounting and bookkeeping firms use.
  • Learns from corrections, tax rules and category changes, and explains each suggestion.
  • Automation can be switched on for the whole practice or client by client, and off again.
  • Core guidance is free; custom guidance is $7 per client per month under a launch offer.
  • Capterra shows 4.3 out of 5 from 175 reviews of Dext, with customer service scored 3.9.

Five Steps Inside Dext AI Assist

Dext describes AI Assist in five stages. They map closely to how a senior bookkeeper trains a junior one.

Learning From Staff Corrections

Each time staff change a category, fix a tax code or correct a supplier, AI Assist records it as a signal. Over weeks those signals build a picture of how the practice works.

Turning Corrections Into Firm Guidance

The signals become guidance written in the practice’s own terms: its tax treatments, categorization patterns and client-specific workflows. AI Assist reads what a document says and how similar items were treated before. It does not rely on the supplier name alone.

Reasons Shown With Each Suggestion

Every suggestion comes with the reasoning behind it. A reviewer can see why a hardware store receipt was coded to repairs for one client and to cost of sales for a construction client.

Auto-Apply Settings by Practice or Client

The firm decides how automation applies. Suggestions can be reviewed, refined, rejected or set to auto-apply. Automation can run across the whole practice or be limited to one client, and it can be turned off where staff judgment differs. Dext’s page puts it plainly: nothing happens without your say-so.

Hand-Written Guidance for Edge Cases

Staff can add guidance by hand for new clients, unusual workflows or edge cases. Dext also ships a library of core guidance it built itself.

Costs and Sales Spaces Covered Today

AI Assist covers items in the Costs and Sales spaces. Dext Solo is supported for UK users. The Bank space is planned, so bank feed transactions are outside its reach for now. It also flags missing or incorrect document data before anything reaches the ledger.

One Client’s Month in Dext AI Assist

Take a cafe client that sends 200 receipts and invoices a month. In week one, staff correct a dozen items: coffee bean invoices moved to cost of sales, a cleaning supplier fixed from unknown, card machine fees given the right tax code. AI Assist records each change. In week two it suggests three rules, each with a short explanation. The bookkeeper approves two and edits the third so it applies only to invoices above a set amount. By week four, most bean and cleaning invoices arrive coded, and staff spend their time on the items AI Assist flags as missing data.

The cafe and its numbers are our example. The steps follow the controls Dext describes.

Core Guidance and Custom Guidance

Core guidance is the rule set Dext wrote and ships to every user at no charge. It covers common coding patterns. Custom guidance is built from your own firm’s corrections and the rules your staff write. The paid add-on is the custom part, so a firm can see how far the free rules go before paying anything.

Dext Partner Plans and the AI Assist Add-On

Dext prices partner plans per client per month, with a 10-client minimum. Firms build a plan on Dext’s site and receive a quote for their client count.

ItemPriceBillingWhat It Covers
Essentials planQuotePer client per month, 10-client minimumCapture, extraction, auto-categorization, supplier rules, bank feeds, auto-publish, 36+ integrations
Advanced planQuotePer client per month, 10-client minimumEssentials plus statement reconciliation, line items, expenses, practice workflows and reporting

AI Assist custom guidance$7 per client per month (launch offer)14-day free trial firstGuidance built from your firm’s decisions
Data health and insights$7.5 per client per monthAdd-onData quality checks, client health scores, dashboards
Commerce Lite$7.5 per client per monthAdd-onShopify and WooCommerce connections

Annual billing is 13% cheaper than monthly. The trial gives full access to core features with no card required. Firms build a plan by choosing a client count and features, and Dext generates a quote from that.

A 40-Client Firm on Custom Guidance

A firm with 40 clients pays 40 x $7, or $280 a month, for custom guidance. Over a year that is $3,360 on top of the Dext plan. Annual billing takes 13% off the plan, so ask whether that discount also applies to add-ons such as custom guidance. Adding data health and insights for the same clients costs another $300 a month.

Now the time side. Suppose each client sends 150 documents a month, so 6,000 in total. If AI Assist auto-applies the coding on half of them and saves 30 seconds of review on each, the firm saves 1,500 minutes, or 25 hours, a month. At $280 a month that is about $11.20 of add-on cost per hour saved. The document volume, share and 30 seconds are our example inputs; count your own during the trial.

A 12-Client Bookkeeper

A solo bookkeeper with 12 clients pays $84 a month for custom guidance, or $1,008 a year. Core guidance costs nothing, so a small practice can run the free rules first and add custom guidance only once its own patterns are worth capturing.

The 31.4 million documents in one month tell you where AI Assist gets its training signal. Capture is already automated; the remaining manual step is deciding what each line means for a given client. That is the step the agent targets.

The 48-hour first response time is Dext’s own published figure. Firms that expect same-day help during month-end should plan around it.

The 3 to 4 minutes per document is Dext’s estimate of manual entry time, which capture already removes. AI Assist works on the smaller review step that follows. Expect its savings to be measured in seconds per document, multiplied across thousands of documents a month.

Dext AI Assist Compared With Booke AI, Karbon AI and Vic.ai

We built this comparison from each vendor’s official pages as listed in our directory.

AgentStarting PriceFree PlanMain StrengthMain GapBest For
Dext AI AssistFree core guidance; $7 per client per month customCore guidanceLearns firm-specific coding and tax rules across clientsBank space not yet coveredFirms capturing documents in Dext
Booke AI$129 per business per monthNoCategorizes bank feeds daily and queries clients for receiptsPriced per businessBookkeepers on QuickBooks Online or Xero
Karbon AI$59 per user per month (Team, annual)NoAI coworker inside practice managementFocused on workflow and emailFirms managing work and client communication
Vic.aiCustom quoteNoAutonomous accounts payable processingEnterprise sales processFinance teams with high invoice volume

Booke AI works on the bank side, which is the gap Dext has yet to fill. A firm could run Dext AI Assist on costs and sales documents and a bank-feed agent on transactions. Karbon AI sits higher in the stack, managing work and email. Vic.ai targets in-house accounts payable teams at larger companies.

Capterra Reviewers on Dext Accuracy and Support

Capterra reviewers give Dext 4.3 out of 5 across 175 reviews, with 4.3 for ease of use and 3.9 for customer service. They like the automatic capture and extraction, the Xero and QuickBooks connections, email forwarding and mobile uploads, and the way supplier rules and categories improve over time.

Complaints cover categorization and supplier detection that leave entries as unknown, email imports that fail, settings that cannot be limited by user role, unclear duplicate detection when several people upload the same file, and bulk imports that drop. One reviewer found it hard to cancel.

Several of those complaints are what AI Assist is meant to address. Wrong categories and unknown suppliers are exactly the corrections it learns from. Firms should track whether the unknown-supplier count falls after a month of use.

The role-based settings complaint matters too. If AI Assist can auto-apply rules for a whole practice, firms will want to control which staff can create or change those rules. Ask Dext how guidance permissions work before giving junior staff access.

Practices Suited to Dext AI Assist

  • Firms with many similar clients: Rules learned on one restaurant client can carry to others with the same pattern.
  • Practices with client-specific tax quirks: Client-only exceptions stay with that client.
  • Teams training junior staff: Explained suggestions show newer staff how the firm codes items.
  • UK and EU firms with data residency needs: Data stays in EU and UK regions and is not used to train outside models.

Firms with seasonal clients get extra value. A rule learned during one tax season is still there the next year, so staff do not relearn a client’s quirks each spring. That memory stays in the practice even when the staff member who taught it moves on.

Firms That May Prefer Another Bookkeeping Agent

  • Firms focused on bank feeds: AI Assist does not yet cover the Bank space.
  • Teams wanting no review step: Dext designed the agent to work with staff approval.
  • Firms not on Dext: AI Assist only works inside Dext.
  • Practices needing fast support: Dext publishes a 48-hour average first response.

Things to Agree With Dext Before Rollout

  • Post-launch price: The $7 rate was a launch offer. Get the ongoing rate in writing.
  • Admin access: Only a practice admin can start the trial, so plan who owns setup.
  • Auto-apply scope: Start with one client before turning on practice-wide automation.
  • Bank space timing: Ask when Bank space support will arrive.
  • Audit trail: Confirm how auto-applied rules are logged for review at year end.

Dext AI Assist Rollout and Beta Feedback

Dext began rolling out AI Assist on March 23, 2026, with a free trial running until April 23, CPA Practice Advisor reported. CEO Sabby Gill said Dext had already removed millions of hours of manual data entry, and Chief Product and Technology Officer Stephen Edginton said the agent was designed to work alongside users. Beta user Michael Shafman, co-CEO of faascloud, said AI Assist became useful quickly once used in real workflows; his firm saw it pick up job-code context for a manufacturing client and apply it consistently.

Dext’s partner pricing page now lists core and custom guidance alongside its Essentials and Advanced plans.

How Dext AI Assist Earns 8.6 on Our Scale

Dext AI Assist scores 8.6/10. It learns firm-specific rules, explains them, and lets a practice choose where they run automatically. Core guidance is free and custom guidance has a published per-client price. It connects to 36+ accounting platforms and keeps data in EU and UK regions.

Dext could improve by adding the Bank space, publishing plan prices and speeding up support. For a firm already on Dext, the test is direct: run custom guidance for 14 days on your ten busiest clients, then compare the number of manual corrections before and after.

Watch two numbers during the trial: how many suggestions staff reject, and how many unknown suppliers remain at month end. If rejections fall each week, the agent is learning your rules. If unknown suppliers stay flat, ask Dext support to review the guidance before paying for the add-on.
