Agent Mode in Word for Reports, Proposals and Policies
Agent Mode became generally available in Word on April 22, 2026, alongside Excel and PowerPoint. In Word it works on the document itself: you state a goal, it splits the job into steps, drafts or rewrites text, merges repeated sections, adjusts tone for a given reader and applies the company template. It pauses at checkpoints and can return a tracked-changes version, so every edit can be accepted or rejected.
It suits staff who live in Word, such as analysts, consultants, HR teams and anyone who writes monthly reports or proposals. For businesses it comes with the Microsoft 365 Copilot add-on, reported at $30 per user a month on top of a base license. We score it 8.9/10 on our scale, led by tenant security, with licensing cost the main thing to weigh.

Agent Mode in Word Release Facts

The rollout notice matters more than it looks. Microsoft made Word Agent the default Copilot experience, with every Copilot button in Word opening it. Licensed staff will meet the agent whether or not IT announces it, so training and policy should come before the rollout reaches them.
The preview figures are Microsoft’s own, cited in a launch summary. They suggest Word users came back to the agent and rated it well, but they are vendor numbers and not an independent study.
Inside an Agent Mode Task in Word
Stating the Goal
You open the Copilot pane and describe the result, for example a refreshed monthly report. Microsoft’s own sample asks the agent to update a report’s data table from an email and compare it with the previous month’s report. The agent may ask clarifying questions before it starts.
Steps and Checkpoints
Older Copilot produced text for you to copy into the document, which left the formatting, numbering and cross-references to you. Agent Mode works on the file structure: it breaks the goal into steps, carries them out and stops at important checkpoints so you stay in control.
Drafting, Merging and Tone
The agent drafts and rewrites sections, restructures the document, finds and merges repeated passages and adapts the writing for an executive or technical reader. Microsoft’s project update sample has it revise an executive summary, bold key findings and add next steps and a conclusion.
Templates and Styles
It applies Word’s native styles and respects corporate templates. A style request can apply title case to headings, update branding to guidelines and italicize partner names across the file.
Tracked Changes for Review
The agent can produce a tracked-changes version, so a reviewer accepts or rejects edits one by one. That also leaves an audit trail when several people touch the same file, since the agent’s edits show up like any colleague’s.
Policy Setup Before Agent Mode Reaches Staff
Because Word Agent becomes the default Copilot experience for licensed users, IT teams should set the rules first. In the Copilot section of the Microsoft 365 admin center, admins can enable or disable Agent Mode for each group, so a pilot group can start before the whole company. Sensitivity labels and Purview DLP policies apply to what the agent reads and writes, and admins can define which external tenants may receive agent-made files.
For sensitive content, the launch summary suggests extra care, such as pseudonymizing data before it reaches the model. Legal, HR and finance teams should agree which document types the agent may touch and which need a human-only process.
Update channel matters too. Current Channel and Monthly Enterprise Channel users receive Agent Mode first, and Semi-Annual Channel users a few weeks later. A company on the slower channel can use that gap to train its pilot group and write a short internal guide covering when to use tracked changes and who signs off on agent edits.
Training Staff on Good Requests
The best results in Microsoft’s examples come from specific requests: name the source, such as a particular email; name the output, such as a comparison with last month; and name the style rules. Short training on that pattern, with two or three team-specific examples, helps staff get usable drafts on the first try.
Licensing for Agent Mode in Word
| Buyer | What Is Needed | Reported Monthly Cost per User |
|---|---|---|
| Small business | Business Standard plus Copilot add-on | $12.50 plus $30 |
| Small business, more security | Business Premium plus Copilot add-on | $22 plus $30 |
| Enterprise | E3 or E5 plus Copilot add-on | About $36 or $57 plus $30 |
| Individual | Microsoft 365 Premium | Agent Mode included |
| Home users | Microsoft 365 Personal or Family | Agent Mode available |
Prices above come from a licensing summary published at launch; confirm current figures with Microsoft or a reseller before buying. Agent Mode arrives through the normal update channels: Current Channel and Monthly Enterprise Channel first, Semi-Annual Channel a few weeks later.
Annual Cost for a Ten-Person Team
| Setup | Annual Cost |
|---|---|
| Copilot add-on only, base licenses already owned | $3,600 |
| Business Standard plus add-on | $5,100 |
| Business Premium plus add-on | $6,240 |
Most companies already pay for the base license, so the real decision is the $3,600 a year add-on for ten people. That add-on also brings Agent Mode in Excel and PowerPoint and Copilot across other apps, so the Word agent is one part of what the money buys.
Agent Mode Across Word, Excel and PowerPoint
The same agent approach reached three apps on the same day, and the preview figures Microsoft shared differ by app. As cited in the launch summary, Word saw engagement up 52%, retention up 11% and satisfaction up 21%. Excel posted the largest gains at 67%, 50% and 65%, and PowerPoint 11%, 36% and 25%.
| App | Engagement | Retention | Satisfaction |
|---|---|---|---|
| Word | +52% | +11% | +21% |
| Excel | +67% | +50% | +65% |
| PowerPoint | +11% | +36% | +25% |
For Word, the pattern reads as heavy early use with a smaller lift in people returning. A team rolling it out should expect enthusiasm in the first weeks and plan a check-in after a month to see which document types stuck. The add-on covers all three apps, so a team buying it for Word also gets Agent Mode in PowerPoint and Excel at no extra cost.
A Monthly Board Report Built With Agent Mode in Word
This walkthrough follows Microsoft’s documented examples for a finance lead who writes the same board report each month.
The finance lead opens last month’s report and asks the agent to update the results table from the CFO’s email, compare it with the previous month and rewrite the summary for board members. The agent asks which email holds the final figures, then updates the table and drafts a new summary. Next, the lead asks it to merge two sections that repeat the cash discussion and to add next steps. Finally, she asks for the company template’s heading styles and brand colors across the file.
The agent returns tracked changes. The lead accepts the table and the merge, rewrites one sentence in the summary and rejects a heading change. Every edit stays visible to the CFO when the file goes for sign-off. Next month the lead repeats the same three requests, which can be saved as a short checklist for anyone covering her role.
Agent Mode in Word Compared With ChatGPT Work, Writer and Grammarly
| Agent | Entry Price | Free Option | Main Strength | Main Limit |
|---|---|---|---|---|
| Agent Mode in Word | Copilot add-on, reported $30 per user/month | No | Edits inside Word with tracked changes and tenant controls | Needs a base license plus add-on |
| ChatGPT Work | Free on desktop; Plus $20/month | Yes, desktop | Works across apps and files for long tasks | Outside the Word file and tenant policies |
| WRITER Agent | Starter $29 per user/month annually | No | Brand playbooks and enterprise content workflows | Separate platform from Word |
| Grammarly AI Agents | Free; Pro $12 per member/month | Yes | Writing checks across many apps | Lighter on whole-document restructuring |
Agent Mode in Word is the option that never leaves the document, which matters when files carry sensitivity labels or the final output must be a Word file with tracked changes. WRITER fits marketing teams with brand rules across channels. Grammarly suits line-level writing help anywhere. For file-heavy tasks across folders, Claude Cowork works on many documents at once. Our writing agents page lists more options, and Agent Mode in Excel covers spreadsheets.
Who Gets the Most From Agent Mode in Word
Companies already on Microsoft 365 Copilot get it with no new purchase. Teams that write recurring documents, such as monthly reports, policy updates and proposal templates, gain the most, because the agent can refresh last month’s file. Regulated firms benefit from the tenant boundary and Purview controls.
Consultancies and agencies that reuse proposal templates gain as well. The agent can take last quarter’s proposal, swap in a new client’s details from an email thread and restyle it to the house template, leaving tracked changes for a partner to approve. Teams that write for mixed audiences can ask it to adapt the same content for executives and for engineers.
Individuals on Microsoft 365 Premium, Personal or Family can use it for CVs, letters and household paperwork without a business license. Home users still need a current Office build and an internet connection, the same as business users.
When Agent Mode in Word May Not Fit
Companies without the Copilot add-on face a per-user cost that adds up across a large staff. Teams that publish mainly to the web or work in Google Docs will gain little. Anyone who needs offline editing should note that Agent Mode needs a connection.
Small firms on older perpetual Office licenses would need to move to a Microsoft 365 subscription first, which changes the cost picture well beyond the add-on. For them, a separate writing agent or a consumer Premium plan for the one or two people who write the most may be the cheaper route.
Accuracy, Builds and Policy Settings for Word Agent Mode
Agent Mode needs a current Office build and an eligible license; if the Copilot pane shows only Chat and Suggestions, the build may be out of date or the license inactive. Government cloud tenants receive the new Word Agent experience from October 2026.
Capterra reviewers of Microsoft 365 Copilot report occasional inaccurate or inconsistent answers, and one says it sometimes removed text. Use tracked changes for anything important and read figures against the source. Admins can enable Agent Mode per group in the Microsoft 365 admin center, apply sensitivity labels and set DLP policies before wide rollout.
