Vic.ai’s Autopilot posts invoices it is confident about straight to the ERP without anyone touching them, and sends the rest to a review queue. The company claims about 85% of invoices are processed with no human touch by a customer’s sixth month, a vendor figure.
Founded in 2017 by CEO Alexander Hagerup, Vic.ai sells to accounting firms and enterprise finance teams. It raised a $52 million Series C led by GGV Capital and ICONIQ Growth in January 2023, bringing total funding to $115 million.
How It Works
Invoices arrive by email, supplier portal, EDI, upload or scan. Vic.ai reads them without templates, predicts general ledger coding and line descriptions from vendor history, and matches them to purchase orders with two-, three- or four-way matching. Approval flows route each invoice by rules, recalculate routing when coding changes and escalate stalled approvals with reminders. The ERP stays the system of record, with two-way sync that includes payments made directly in the ERP.
VicInbox, now available as a Microsoft Outlook add-in, reads vendor emails, sorts invoices, statements, duplicates and payment questions, routes invoices into Vic.ai and suggests replies. VicPay handles bill payments and early-payment discounts, VicCard covers card spend, and VicAnalytics tracks processing time and automation rates. Integrations include NetSuite, Sage Intacct, SAP S/4HANA, Microsoft Dynamics, Workday, QuickBooks Online, Xero and property-focused systems such as Yardi, AppFolio and RealPage.
Pricing
Vic.ai does not publish prices. After a discovery meeting it sends a custom proposal based on the customer’s ERP, annual revenue and monthly invoice volume. Analytics are sold in Standard, Advanced and Premium tiers. There is no free plan or self-serve trial.
What to Watch Out For
User reviews praise speed and ERP integrations but mention long setup, pricing that can strain smaller firms, trouble with unusual invoice formats, limited mobile features and slow support at month end. Accuracy and no-touch figures come from Vic.ai, so ask for results from customers on your ERP before signing. Plan for a learning period too: the system improves from corrections, so early months will need more review than later ones, and finance staff should keep checking coding on unusual vendors.
