Vendoroo is an AI maintenance coordinator for residential property managers. Its agents take a resident’s repair request, troubleshoot it, choose and dispatch a vendor, schedule the visit, follow up and close the work order, while an AI receptionist answers leasing, maintenance, resident and owner calls. It suits residential property managers on Yardi, AppFolio, Rentvine, Buildium or Rent Manager who are hiring coordinators as they add doors. Vendoroo says the usual ratio is one coordinator per 200 doors and that with its AI one person can cover at least 1,000.
Pricing is shared after a demo, with plans and add-ons quoted. Vendoroo says it serves hundreds of property management companies. This review is based on Vendoroo’s published pages and its April 2026 press release; we have not tested the product.
Quoted Plans and a Claimed 1,000 Doors per Coordinator
- Starting price: Custom quote for the Receptionist and Maintenance Coordinator plans, with paid add-ons and no free plan.
- Coordinator ratio: Vendoroo says its AI moves a coordinator from about 200 doors to at least 1,000, with about two escalations a day per 1,000 doors.
- End-to-end repairs: Intake, troubleshooting, vendor dispatch, scheduling, follow-up and closeout run in one loop, with humans on complex cases.
- Guarantee: If the agent dispatches the wrong vendor, Vendoroo covers the trip fee.
- Our score: 7.9/10, with high autonomy, and published prices, listed certifications and public ratings as areas still to add.
Vendoroo’s Own Site and Customers as the Evidence
Vendoroo’s evidence comes mostly from its own site and customers. Each fact was checked on the source page; performance figures are the company’s own.
| Fact | Detail | Source and date |
|---|---|---|
| Customer base | Hundreds of property management customers | Vendoroo press release, April 2026 |
| Manual work | Reduces manual maintenance coordination by up to 95% | Vendoroo press release, April 2026 |
| Rent Manager | Joined the Rent Manager Integrations Program, keeping both systems in sync | Vendoroo press release, April 2026 |
| Coordinator ratio | About 1 coordinator per 200 doors before; at least 1,000 doors per coordinator with the AI | Vendoroo homepage, accessed October 2026 |
| Escalations | About 2 escalations a day per 1,000 doors | Vendoroo homepage, accessed October 2026 |
| Resident experience | 92% less resident frustration | Vendoroo homepage, accessed October 2026 |
| Keyrenter Boise | Owner of a 458-door firm expects to grow to 1,000 doors with one maintenance coordinator | Vendoroo homepage, accessed October 2026 |
| Named customers | Real Property Management Titan, Cal Bay Property Management, PMI Elevation and Real Property Management Midlands, among others | Vendoroo homepage, accessed October 2026 |
| Guarantee | Covers the trip fee if the agent dispatches the wrong vendor | Vendoroo plans page, accessed October 2026 |
For a buyer, the coordinator ratio is the number that matters, because coordinator headcount is the cost that grows with every door you add. If Vendoroo’s claim holds even partly for your portfolio, the savings come from not hiring as you grow rather than from cutting current staff.
The named customers are mostly residential management firms, including several Real Property Management and PMI offices, which tells you where the product has been tested hardest. Larger multifamily operators should ask for references at their own scale; Vendoroo does sell an enterprise offering.
Two quotes on the homepage add color. The owner of Keyrenter Boise, with 458 doors, said the firm expects to reach 1,000 doors with a single maintenance coordinator, and the broker-owner of Real Property Management Titan said the firm did $500,000 in a year with no staff. Both are testimonials chosen by the vendor, so treat them as reasons to call those firms rather than as averages.
Roos Between Residents, Vendors and Your PMS
Vendoroo’s agents, which it calls Roos, sit between residents, vendors, owners and your property management system. They read and write work orders through integrations with Yardi, AppFolio, Rentvine, Buildium and Rent Manager.
The Maintenance Loop
- Intake. A resident reports a problem. The agent gathers details and troubleshoots with the resident, which can resolve simple issues without a visit.
- Vendor selection. If a visit is needed, the agent picks a vendor from your list for the trade and location.
- Dispatch and scheduling. It dispatches the vendor and coordinates a time between vendor and resident.
- Follow-up. It chases vendors and residents until the job is done, which is the part coordinators often say eats their day.
- Closeout. It completes and closes the work order in your system.
Front Desk and Add-Ons
The Receptionist plan answers leasing, maintenance, resident and owner calls, creates tasks and work orders and routes requests. The Maintenance Manager add-on handles owner approvals, warranties and complex coordination. In-House Dispatcher, on a waitlist, will route your own technicians by skill, availability and location. After-Hours Human Support puts people on true emergencies. Vendoroo’s homepage also lists Resident Experience, Vendor Selection and ROO Office products, with Owner Experience on a waitlist.
Expert Oversight for Complex Maintenance Calls
Vendoroo describes its model as AI agents with human expert oversight: routine decisions are automated and complex situations go to people. Your team still owns the vendor list, approval thresholds, owner relationships and anything with legal or safety weight, such as habitability complaints. The homepage says covered operational errors are on Vendoroo, with humans in the loop, subject to its terms.
Demo, PMS Connection and Owner Approval Rules
Getting started runs through a demo. Expect to connect your property management system, load your preferred vendors by trade and area, set the rules for owner approvals and spending limits, and decide when calls and after-hours emergencies go to people. Because the agent writes work orders back into your system, test it on one portfolio segment before turning it on for every door.
Plans and Add-Ons Listed Without Prices
Vendoroo lists its plans and add-ons but not prices. The plans page sends buyers to book a demo.
| Plan | Price | Billing | What’s Included | Limits |
|---|---|---|---|---|
| Receptionist | Custom quote | Not published | Answers leasing, maintenance, resident and owner calls; creates tasks and work orders; routes requests | Phone front desk only |

| Maintenance Manager (add-on) | Custom quote | Not published | Owner approvals, warranties, complex coordination | Requires Maintenance Coordinator |

Staffing Math for a 1,000-Door Single-Family Manager
Without list prices, the useful math compares staffing levels using Vendoroo’s own ratios as an upper bound on savings.
A 1,000-door single-family manager. At about 200 doors per coordinator, the firm would need five coordinators. At Vendoroo’s claimed 1,000 doors per coordinator, it would need one. Whatever Vendoroo quotes, compare it with the fully loaded cost of the four roles you would not need to fill.
Escalations to expect. At about two escalations a day per 1,000 doors, a 1,000-door portfolio would send about 730 cases a year to a person. A 2,500-door portfolio would see about five a day, roughly 1,825 a year, which one coordinator can plan for.
Hidden and variable costs. Ask whether pricing is per door, per work order or per plan, what After-Hours Human Support costs, and whether the trip-fee guarantee has a cap. Also budget staff time to clean up the vendor list before go-live, since dispatch quality depends on it.
Per-Door or Per-Work-Order Fees and Add-On Costs
- Pricing basis: whether fees are per door, per work order, per call or a flat plan fee, and how they change as you add doors.
- Add-on costs: what Maintenance Manager and After-Hours Human Support cost, and whether emergency calls are billed by volume.
- Guarantee limits: how the trip-fee guarantee and the coverage for operational errors work, and what they exclude.
- Integration depth: which fields the agent reads and writes in your property management system, and whether owner approvals flow back into it.
- Exit terms: how work order histories, vendor notes and call recordings are exported if you leave.
Vendoroo Compared With AppFolio Realm-X, RealPage Lumina and Yardi Virtuoso
Most rivals for Vendoroo’s job are the maintenance agents built into large property management suites.
| Tool | Starting Price | Free Plan | Main Strength | Main Trade-Off | Best For |
|---|---|---|---|---|---|
| Vendoroo | Custom quote | No | Dedicated maintenance coordinator agent that works across several property management systems | No published prices or certifications | Residential managers on several different systems |
| AppFolio Realm-X | $1.49 per unit a month (Core, 50-unit minimum) | No | Built into AppFolio with published per-unit prices | Only works for AppFolio customers | AppFolio users |
| RealPage Lumina | Custom quote | No | Seven agents including a Facilities Agent that triages work orders and coordinates vendors | Requires the RealPage platform | Large RealPage multifamily operators |
| Yardi Virtuoso | Custom quote | No | Agents that review work orders and prepare purchase orders inside Yardi | Enterprise sales and Yardi only | Yardi Voyager operators |
Vendoroo’s advantage is focus and portability: it works with AppFolio, Yardi, Buildium, Rentvine and Rent Manager, and maintenance is its whole product. The suite agents are better when you want one vendor and your system is already RealPage, Yardi or AppFolio. More options are on our property management agents page.
A practical way to choose: if your system is AppFolio, price Realm-X first because its per-unit rates are published, then ask Vendoroo whether its dedicated maintenance loop justifies a second vendor. If you run RealPage or Yardi at enterprise scale, the suite agents will see more of your data by default. If you run Buildium, Rentvine or Rent Manager, Vendoroo is one of the few agent options built to plug into your system.
Residential Managers Growing Their Door Count
- Residential managers adding doors: the named customers and the coordinator ratio claim come from this segment.
- Firms on Buildium, Rentvine or Rent Manager: suite vendors’ own agents are not an option for them, and Vendoroo integrates with all three.
- Teams buried in vendor follow-up: chasing vendors and residents to closeout is the core of what the agent does.
- Managers who want after-hours coverage: the receptionist and After-Hours Human Support add-on cover calls outside office hours.
- Operations leads wanting accountability: the trip-fee guarantee puts some cost of mistakes on the vendor. For broader automation, see our workflow automation agents page.
Price-First Buyers and Big In-House Maintenance Crews
- Buyers who need prices up front: every plan is quoted after a demo.
- Operators with large in-house maintenance teams: the In-House Dispatcher for routing your own technicians is still on a waitlist.
- Security-first procurement: Vendoroo does not yet list certifications publicly, so expect a longer review.
- Managers on unsupported systems: Vendoroo names Yardi, AppFolio, Rentvine, Buildium and Rent Manager; confirm your system before the demo, because the agent depends on syncing work orders.
- Teams seeking a leasing agent: the receptionist answers leasing calls, but a dedicated leasing agent such as Zuma or EliseAI goes further on tours and follow-up.
Track Your Own Cycle Times Alongside Vendoroo’s Figures
- Vendor metrics: 1,000 doors per coordinator, 92% less resident frustration and up to 95% less manual coordination are Vendoroo’s figures. Track your own work order cycle times before and after.
- Spending authority: set clear limits on what the agent can approve before an owner or manager signs off.
- Security and data: the agent handles resident contact details, access notes and owner data. Ask for security documentation and data retention terms.
- Waitlisted features: In-House Dispatcher and Owner Experience are not generally available yet, so plan around what is available today.
- Vendor relationships: local vendors are used to calls from a person they know. Tell your vendors that an AI agent will be dispatching and following up, and watch for vendors who stop responding.
- Guarantee terms: the trip-fee guarantee and the error coverage are subject to Vendoroo’s terms; read what is excluded.
Rent Manager Integration in April 2026
In April 2026, Vendoroo joined the Rent Manager Integrations Program, so Rent Manager customers can add its AI front desk and maintenance agents while keeping data in sync. The release described Vendoroo as serving hundreds of property management customers and reducing manual maintenance coordination by up to 95%.
High Autonomy in a Focused Maintenance Tool
Vendoroo is one of the few AI agents built only for property maintenance coordination, and it scores 7.9/10 on our scale. Autonomy is its strength: the agent runs the whole loop from intake to closeout, with humans on complex cases and a guarantee on wrong dispatches. Broad integrations make it usable for managers who are not on one of the big multifamily suites.
The score reflects quote-only pricing, no publicly listed certifications and no public ratings yet, all areas Vendoroo could add. If coordinator hiring is your bottleneck, run a pilot on a slice of your doors, measure work order cycle time, escalations and resident complaints, and compare the quote with the coordinator salaries you would otherwise add.
Pick a pilot group with a normal mix of trades, not just easy jobs, and keep one coordinator reviewing the agent’s decisions for the first month. If escalations stay near the two a day per 1,000 doors that Vendoroo cites and residents complain less, the business case is straightforward. Compare alternatives on our property management agents page.
