Recruiterflow Score

Our editorial score across six weighted criteria, based on Recruiterflow’s published documentation, pricing and public user ratings. How we score

  • Autonomy7.5

AIRA agents summarize conversations, suggest field updates and auto-update records on job changes, but mostly assist recruiters rather than act end to end.

  • Ease of Setup8.3

Self-serve CSV import is free and the product is a standard web ATS, but white-glove migration is paid and typically takes six to eight weeks.

  • Pricing Value8.5

The Platform plan is published at $119 annual or $149 monthly per user with no paid add-ons or metered AI credits, and the AI agents sit on a custom-priced plan.

  • Integrations8.3

Capterra lists 14 integrations including Gmail, Outlook, Twilio and Zapier, plus an open API and LinkedIn import, and some reviewers would like more integrations.

  • Trust and Security9.0

Recruiterflow documents ISO 27001 certification, AICPA SOC 2, and published data processing, breach and retention policies.

  • User Sentiment9.5

Capterra rates Recruiterflow 4.7 from 332 reviews, trimmed because some reviewers ask for more onboarding, more integrations and steadier renewal pricing.

Recruiterflow is one of the few agency recruiting platforms with AI agents and a published seat price: its Platform plan starts at $119 per user per month on annual terms, or $149 monthly. The AI agents, branded AIRA, sit on a separate custom-priced plan. They take notes on calls and conversations, suggest updates to candidate and client records, track when candidates change jobs and help with matching, submissions and tasks. Recruiterflow says the agents are not metered and future agents are included.

It is best for recruitment and executive search agencies with roughly a handful to a few dozen recruiters that want one system for candidates, clients and business development. The published price covers the ATS and CRM, with the agents on a separate quoted plan, and the agents mostly assist recruiters rather than act on their own. We rate it 8.4/10 on our scale. We have not used Recruiterflow ourselves; this review is based on Recruiterflow’s pricing page and blog, Capterra data and a third-party pricing review.

Recruiterflow’s $119 Platform Seat With No Paid Add-Ons

  • Recruiterflow’s Platform plan is published at $119 per user per month on annual terms or $149 monthly, with no paid add-ons.
  • The AIRA agents, which take notes, suggest record updates, track job changes and support matching and submissions, need the custom-priced AIRA plan.
  • Recruiterflow says AIRA agents are not metered and future agents are included during the contract.
  • ISO 27001 and SOC 2 are documented, and Capterra reviewers rate it 4.7 out of 5 from 332 reviews.
  • Best for search and recruitment agencies; high-volume staffing firms needing voice screening or timesheets may find a better fit in tools built for that work.

Pricing Detail Few Agency Vendors Publish

Recruiterflow publishes more pricing detail than most agency software vendors. These are the figures we confirmed.

The pricing model is the most useful detail. Many AI recruiting tools meter usage through credits or charge per agent, which makes busy months expensive. Recruiterflow’s statement that AIRA has no metered credits and no paid add-ons means the AI cost is fixed once the AIRA quote is signed, which is easier to budget for an agency with seasonal swings.

The two customer figures on the pricing page, 1,700 agencies and 2,100 search firms, differ, so Recruiterflow could clarify which applies; we treat both as approximate. The security documentation is more concrete: ISO 27001 and SOC 2 matter when clients ask how candidate data is handled.

An ATS and CRM First, With Agents via AIRA

Recruiterflow is an ATS and CRM first. Agents are added on top through the AIRA plan.

The Platform

  • ATS and CRM in one: candidates, client companies and contacts live in the same database, with client and team access controls.
  • Multichannel sequences: email and text outreach run as sequences, with recruitment and sales automation for follow-ups.
  • Sourcing: a Chrome extension captures candidates in bulk, and LinkedIn profiles can be imported.
  • Reports and API: reporting and an open API come with every plan.

The AIRA Agents

  • AIRA Notetaker: summarizes interactions from email, texts, calls, meetings and LinkedIn, including key points from candidate calls.
  • Field Updates Agent: suggests updates to ATS and CRM fields based on those interactions, keeping records current without manual typing.
  • Job Change Alerts: tracks when candidates change roles or companies and updates their records, a useful trigger for business development and re-engagement.
  • Matchmaker, Submission Agent and Task Agent: named agents on the AIRA plan for candidate matching, client submissions and task follow-up.
  • AIRA Search, AIRA Source and Ask AIRA: natural-language search, sourcing across more than 850 million profiles and bulk profile review.

The AIRA plan also adds omnichannel communication sync, including LinkedIn messages, and custom BI dashboards.

The Business Development Side

Agencies sell to clients as well as recruit candidates, and Recruiterflow is built for both. The CRM holds client companies and contacts next to candidates, sequences run sales outreach as well as candidate outreach, and sales automation handles follow-ups with hiring managers. Job Change Alerts add a business development angle: when a candidate in the database moves to a new role or company, the record updates and a recruiter has a reason to reach out to a new potential client. Custom BI dashboards on the AIRA plan let owners track activity and pipeline across the team. For a small search firm that would otherwise run a separate sales CRM, having both sides in one system is a large part of the value, separate from the AI agents.

Demo First, Then Importing Data From Excel

  • Book a demo: plan buttons lead to a demo, and the AIRA plan is quoted there.
  • Move your data: import from Excel or CSV for free, or pay for white-glove migration, which typically takes six to eight weeks depending on data volume.
  • Connect email and calendar: Gmail, Google Workspace, Microsoft 365 and Outlook are among the listed integrations.
  • Build sequences: set up outreach and automation for candidates and clients before switching on the agents.

AIRA Agents Mostly Suggest Rather Than Act

Most AIRA agents suggest or record rather than act on their own. Recruiters still decide whom to submit, run client calls, negotiate fees and approve record changes the Field Updates Agent proposes. Agencies looking for agents that screen and schedule candidates without a recruiter in the loop will find more autonomy in tools built for high-volume staffing.

$1,428 a Year for One Search Consultant’s Seat

  • Solo search consultant: one Platform seat costs $1,428 a year on annual terms or $1,788 a year on monthly billing, before any AIRA upgrade.
  • Five-recruiter agency: five seats cost $7,140 a year on annual terms or $8,940 on monthly billing, a $1,800 difference that favors committing for a year once the tool is proven.
  • Twenty-recruiter firm: twenty Platform seats come to $28,560 a year on annual terms. At this size the AIRA quote and a migration fee waiver on a multi-year contract are both worth negotiating.

The variable costs are the AIRA plan premium, which is not published, and paid migration. Because AIRA has no metered credits, the main risk is renewal pricing rather than usage spikes, so fix renewal terms in the contract.

Recruiterflow Compared With Bullhorn Amplify, hireEZ and Juicebox

Recruiterflow is a system of record with agents added. The others are either agents inside a rival ATS or sourcing tools that sit beside one.

AgentStarting PriceFree PlanMain StrengthMain Trade-OffBest For
Recruiterflow$119 per user per month (annual)NoPublished price; ATS, CRM and agents in one; unmetered AIAgents only on custom AIRA plan; mostly assistiveSearch and recruitment agencies
Bullhorn AmplifyCustom quoteNoAgents inside the most common staffing ATSOnly works inside BullhornStaffing agencies on Bullhorn
hireEZ$549 per user per month (AWS Marketplace)NoAgents that source, engage and scheduleHigh entry price; not an ATSRPO and high-volume sourcing teams
Juicebox (PeopleGPT)$99 per seat per month, billed annuallyLimitedLow-cost AI search and outreachATS and CRM sync only on custom planAgencies and startups sourcing outbound

For a growing search firm choosing a system of record, the real comparison is Recruiterflow against Bullhorn. Recruiterflow wins on price transparency and unmetered AI; Bullhorn Amplify offers more autonomous agents inside a larger ecosystem, at a quoted price. hireEZ and Juicebox are not ATSs, so they pair with Recruiterflow rather than replace it, and Recruiterflow’s SourceWhale integration shows that outside sourcing tools can plug in. A small agency could run Recruiterflow Platform plus Juicebox for five recruiters at $7,140 plus $5,940 a year on annual terms. Search Agencies Wanting Predictable Costs

  • Search and recruitment agencies: candidates, clients and business development sit in one system with sequences for both sides.
  • Agencies that want predictable AI costs: AIRA has no metered credits or paid add-ons, so the bill does not rise in busy months.
  • Firms with security questions from clients: ISO 27001 and SOC 2 are documented.
  • Recruiters who lose time to notes and data entry: the Notetaker and Field Updates Agent target exactly that work.

High-Volume Staffing and Autonomous Outreach Seekers

  • High-volume staffing firms: voice screening, timesheet and payroll tooling for temp and contract desks are not part of the product.
  • Teams wanting autonomous outreach and scheduling: AIRA agents mostly suggest and record; dedicated sourcing agents act more on their own.
  • Agencies deep in the Bullhorn ecosystem: switching means a migration that can take weeks and cost money.
  • Buyers wanting AI without a sales call: the agent plan is quote-only.

AIRA Pricing, Renewals and Integration Checks

  • Agents are quoted separately: the $119 and $149 figures buy the Platform plan; AIRA is a separate quote.
  • Renewal pricing: one Capterra reviewer reported price increases at renewal they did not expect and unclear billing currency, so lock renewal caps in writing.
  • Integrations: Capterra lists 14 integrations, and some reviewers mention a relative lack of them, so check your job boards, phone system and payroll tools before signing.
  • Onboarding: some reviewers would like more training videos and a formal onboarding program.
  • Figures to confirm: the pricing page cites both 1,700 agencies and 2,100 search firms, and its own description and plan card show different prices, so confirm terms in your quote.

The AIRA Premium Per Seat and Renewal Terms

  • What is the AIRA premium per seat? get the AIRA price next to the Platform price so you can see what the agents add per recruiter per year.
  • Is there a renewal cap? given one reviewer’s report of an unannounced increase, ask for a written limit on price changes at renewal.
  • Which agents ship today? Matchmaker, Submission Agent and Task Agent are named on the plan; ask for a demo of each on your own data.
  • What does migration include? confirm which records, attachments and activity history move in a white-glove migration and whether the fee can be waived on a longer term.

October 2026 Post on What Every Plan Includes

A Well-Reviewed Agency ATS Rated 4.7 on Capterra

Recruiterflow scores 8.4/10 on our scale. It is a well-reviewed agency ATS and CRM, 4.7 out of 5 from 332 Capterra reviews, with a published seat price, ISO 27001 and SOC 2, and an AI pricing model that avoids credits and add-ons. Those strengths lift its pricing, security and sentiment scores. Its autonomy score is the lowest of the six because AIRA agents mainly take notes, suggest updates and track job changes rather than running candidate work end to end.

For a search or recruitment agency choosing its main system, Recruiterflow is a strong option, especially if predictable costs matter more than maximum automation. Ask for the AIRA quote alongside the Platform price and compare it to Bullhorn with Amplify. Staffing firms with high applicant volume should pair it with, or choose, a tool built for screening and redeployment.

Per-User Cost and Whether AIRA Is Included

How Much Does Recruiterflow Cost Per User?

The Platform plan is $149 per user per month on monthly billing, and the pricing page says plans start at $119 per user per month, the annual rate. The AIRA plan with AI agents is custom-priced.

Are AIRA Agents Included in the Platform Plan?

No. AIRA agents and AIRA Notetaker come only with the AIRA plan. Recruiterflow says they are not metered and that future agents are included during your contract.

What Do the AIRA Agents Actually Do?

The Notetaker summarizes calls, meetings, email, texts and LinkedIn messages, the Field Updates Agent suggests record changes, Job Change Alerts update candidate data when people move roles, and Matchmaker, Submission and Task agents support matching, submissions and follow-ups.

Is Recruiterflow Secure Enough for Client Data?

Recruiterflow documents ISO 27001 certification and AICPA SOC 2 and publishes privacy, breach, retention and data processing documents. Request the SOC 2 report under NDA if clients require it.

Can I Move From Bullhorn to Recruiterflow?

Yes. You can import data yourself from Excel or CSV for free or pay for white-glove migration, which typically takes six to eight weeks. Recruiterflow says a fee waiver can be discussed on multi-year contracts.
