Box Agent for Teams That Live in Box
Box made the Box Agent generally available on April 2, 2026, for Enterprise Plus and Enterprise Advanced customers. It takes a request in plain language, plans the steps in a visible to-do list, searches the company’s whole content library, extracts data points and builds a finished answer, report or file. It works only from files the user is allowed to see, and Box says customer data is not used to train third-party models.
It fits legal, procurement, HR, sales and marketing teams whose contracts, invoices and briefs already sit in Box. Enterprise Plus costs $50 per user a month. We score it 8.9/10 on our scale, led by security, with the tier requirement the main point to weigh.

The permission model is the fact buyers should weigh first. Box already controls who sees which folder, and the agent inherits that. For legal and HR content, an agent that cannot read past a user’s access saves a long security review. The second fact is the tier: the agent starts at Enterprise Plus, so teams on Business, Business Plus or Enterprise need an upgrade.
Box’s CEO, Aaron Levie, framed the release around context, saying AI can only reach its full potential if it understands an organization’s unique context. In Box’s case that context is the content library, which for many companies holds most of their contracts and records.
How the Box Agent Runs a Task
Box AI Home
The agent runs in Box AI Home, a full-screen chat. A user types a request, and sessions persist, so unfinished work can be picked up later. Sources can be added and previewed without leaving the session, which keeps the chat and the files side by side.
Planning With a Visible To-Do List
The agent breaks the request into steps and shows them as a to-do list. It interprets the question, widening searches to cover company terms, relevance and recency, and iterates until it has an answer. The list lets a user see early if the agent misread the request and correct it before it spends effort on the wrong files.
Tools the Agent Chooses
It picks tools as needed: searching the whole drive, extracting data points from selected files, comparing documents or calling a custom agent from Box AI Studio. Answers come with references to the source files, so a reviewer can open the exact contract or invoice behind each line of the answer.
Turning Results Into Files
On Enterprise Advanced, the agent can create new Box Notes, Word documents, PDFs, Excel spreadsheets and PowerPoint decks from its results. This feature is in beta.
Pro Mode and Expanded Mode
Standard Mode handles everyday tasks such as finding information and summarizing documents. Pro Mode uses a more capable model for complex planning. Expanded Mode raises query capacity and context limits for long or high-volume work. Both are Enterprise Advanced features and can be combined.
Box AI Studio Agents
Admins build custom agents without code, set to the company’s rules and knowledge. Box gives a Legal Reviewer and a Brand Steward as examples. Admins choose Gemini, ChatGPT or Claude for each agent and can deploy it across the organization, and the Box Agent can call these agents during a task.
Setting Up Box AI Studio Agents for the Box Agent
Custom agents decide how much of a company’s own judgment the Box Agent can apply. An admin on Enterprise Advanced opens Box AI Studio, names the agent, writes its instructions in plain language and points it at the knowledge it should use, such as a contract playbook or brand guide. The admin then picks the model, Gemini, ChatGPT or Claude, and deploys the agent to the organization.
Box’s two examples show the pattern. A Legal Reviewer applies the company’s clause standards when the Box Agent reviews contracts. A Brand Steward checks marketing drafts against brand rules. When a user asks the Box Agent for a contract summary, it can call the Legal Reviewer as one step in its plan, so the answer reflects company policy and not only the model’s general knowledge.
Model choice per agent lets admins match a model to a job, for example one model for long legal documents and another for marketing copy, without changing anything for users. Keep each agent narrow at first, test it on a folder where the right answer is known, and widen its scope once its answers match what a specialist would say.
Box Plans and Agent Access
| Plan | Price per User per Month | Box Agent | Extra AI Features |
|---|---|---|---|
| Business | $20 | No | Single-document Q&A, content generation |
| Business Plus | $33 | No | Same as Business |
| Enterprise | $47 | No | Same as Business |
| Enterprise Plus | $50 | Yes, Standard Mode | Multi-document Q&A with advanced models, AI Hubs |
| Enterprise Advanced | Quote | Yes | AI Studio, Pro and Expanded modes, file creation beta |
Each task uses AI Units in line with its complexity. Box does not publish a per-task figure, but Enterprise Advanced customers have usage restrictions removed for demanding workflows.
Upgrade Costs for Three Company Sizes
We worked out the annual cost of moving to Enterprise Plus from Box’s listed prices.
| Company | Current Plan | Annual Cost Now | Annual Cost on Enterprise Plus | Difference |
|---|---|---|---|---|
| 25-person firm | Business Plus | $9,900 | $15,000 | $5,100 |
| 100-person company | Enterprise | $56,400 | $60,000 | $3,600 |
| 300-person company | Enterprise | $169,200 | $180,000 | $10,800 |
For companies already on Enterprise, the step to Enterprise Plus costs $3 per user a month, or $36 a year. For a small firm on Business Plus, the jump is larger at $17 per user a month. Enterprise Advanced is quoted, so get a price before planning around AI Studio or file creation.
A Procurement Invoice Check in the Box Agent
Box names procurement invoice processing as a use case. Here is how a team on Enterprise Advanced could run it with the documented features.
The buyer asks the agent to compare last month’s supplier invoices in a shared folder with the matching purchase orders. The agent lists its steps, searches both folders, extracts invoice numbers, amounts and dates, and compares them line by line. It calls a custom finance agent from Box AI Studio that knows the company’s approval thresholds. It then saves an Excel file listing mismatches and invoices above the threshold, saved back to Box with links to each source document. The buyer reviews the list and sends exceptions to the supplier.
On Enterprise Plus, the same request works in Standard Mode for finding and extracting data, but the spreadsheet output and the custom agent need Enterprise Advanced.
Box Agent Compared With Gemini Enterprise, Notion Agent and Rovo
| Agent | Entry Price | Free Option | Main Strength | Main Limit |
|---|---|---|---|---|
| Box Agent | Enterprise Plus $50 per user/month | No | Works inside Box permissions across a whole library | Needs Enterprise Plus or higher |
| Gemini Enterprise | Business $21 per user/month | Trial | Agents across Google and Microsoft apps | Separate subscription from storage |
| Notion Agent | Business $20 per member/month for Custom Agents | Notion Agent on all plans | Agents inside Notion pages and databases | Works mainly on Notion content |
| Rovo Agents by Atlassian | Included with paid Jira and Confluence | With paid plans | Agents across Jira and Confluence work | Credit allowances per user |
Each of these agents works best where a team already keeps its content. Box suits companies whose contracts and records live in Box; Notion and Rovo suit teams whose knowledge sits in those tools. Box’s $50 seat price is higher than Gemini Enterprise Business at $21 or Notion Business at $20, but it covers the content platform itself, including storage, sharing and governance, while Gemini Enterprise sits on top of wherever files are kept. Gemini Enterprise spans several sources but is a separate subscription. For signed agreements specifically, Docusign Iris agents review and monitor contracts where they are signed. More options sit on our document processing agents page.
Teams That Fit the Box Agent
Legal teams can ask for all contracts with a given clause, extract renewal dates and get a summary with links back to each agreement. Procurement can reconcile invoices against orders. HR can build onboarding schedules from policy documents. Sales can draft RFP answers from past proposals stored in Box. Marketing can pull approved assets and brand rules into new drafts.
Companies already on Enterprise Plus get the agent with their current seats, so the first step is choosing one repetitive task to try.
IT teams gain as well. Because the agent inherits existing folder permissions, the access review that usually slows an AI rollout is largely already done, and no files move to a new system. That shortens the path from approval to first use for regulated teams in legal, finance and HR.
Who May Wait on the Box Agent
Small teams on Business or Business Plus face a large per-user jump to reach Enterprise Plus. Companies that keep most documents in other systems will see less benefit, since the agent works on Box content. Teams that need custom agents or file output should budget for Enterprise Advanced, which is quoted. Firms that want an agent to act in other business systems, such as updating a CRM record, may need a separate workflow tool alongside it.
AI Units, Beta Features and Review Points at Box
File creation is still in beta. Box does not publish how many AI Units a task uses, so heavy users should ask for a usage estimate before rollout. As with any agent, check extracted figures against the source files before acting on them, and use the source references to jump to each file.
Capterra reviewers rate Box well overall. Complaints focus on pricing complexity for small teams, storage limits on lower tiers and the cost of extra storage.
Questions to Ask Box Before Enabling the Agent
Ask how many AI Units typical tasks in your use case consume, and if your plan caps them. Confirm whether the features you need, such as file creation or custom agents, sit on Enterprise Plus or only on Enterprise Advanced, and get a quote for the latter. Check which folders hold the content the agent should use and whether their permissions are clean, since the agent follows them exactly. If a department has stale or overly broad sharing, fix that first; the agent will otherwise surface whatever those users can already open.
Finally, decide who reviews outputs. Box positions the agent for contract review, invoice processing and RFP drafting, all tasks where a wrong figure costs money, so name an owner for each workflow before it goes live.

Our Read on the Box Agent at 8.9 Out of 10
The Box Agent scores 8.9 out of 10 on our scale. Security rates highest because it inherits Box permissions and keeps customer data out of third-party model training. Autonomy and integrations rate well for multi-step work across a library with custom agents. Pricing and setup trail because of the Enterprise Plus entry point and the features held for Enterprise Advanced.
For a trial, pick one folder with a repeated question, such as vendor contracts up for renewal, and compare the agent’s answer with the list your team keeps today.
Run the same request weekly for a month. If the agent’s list matches the team’s each time, move the task to the agent and keep spot checks; if it misses items, check whether those files sit in folders the requester cannot open, since the agent only reads what the user can.
